Configurable inspection checklists

Consistent quality capture across every site.

Define inspection checklist templates with categories, individual checkpoints, room-specific sections, and photo evidence requirements. Link templates to inspection types, apply journey-stage visibility, and reuse them across every site, so quality capture is consistent regardless of which team is on-site.

  • Custom templates with categories, checkpoints, and room-specific items
  • Multiple inspection types: pre-completion, defects liability period, common areas, ad-hoc
  • Journey-stage milestones: control which inspection types homeowners can access and when
  • Archive inspections on close, with a full historical record always retained

On-site execution

Capture defects at source. Connected to the completion record.

Walk through a checklist on-site in real time. Mark each point pass, fail, or N/A with direct photo capture. Raise defects from failing checkpoints, with context carried forward automatically. Collect digital signatures and generate a signed PDF at completion, saved directly to the plot document vault. Pins, photos and annotations captured in Guided Site land on the same plot record, so a contractor sees the location without a follow-up call.

  • Real-time completion: pass/fail/N/A per checkpoint with photo evidence
  • Raise defects from any failing checkpoint, with all context carried forward
  • Floorplan pin, photo and annotation from Guided Site travel with the defect
  • Signed PDF saved directly to the plot document vault on completion

Defect tracking and resolution

Fewer disputes. Calmer resolution.

A continuous, trusted record clarifies responsibility between residents and operators while providing clear evidence back to delivery partners during the defects liability period. Defects are assigned, tracked, and closed with full context, not chased through email chains. Two-way sync with site or CRM systems is the Defect Connectivity Hub, not this module.

  • Assign defects with priority, SLA, and contractor: they see only their queue
  • This page is the plot record: routing, SLA and aftercare context
  • Automated weekly defect summary reports delivered to your team
  • Plan location, photos and inspection context stay on the plot through DLP

From pin to plot record

The location survives sync. Aftercare sees the same item.

A pin on a cached floorplan is only useful if it leaves the phone. In Guided Home the plan location travels with the defect onto this module, so routing, SLAs and aftercare see the same located item. Owner-visible defects can surface on the white-label resident journey at yourcompany.guidedhome.co, with Apple and Android apps, by journey stage and milestone.

  • Pin plus photo plus annotation plus priority land as one plot item
  • Contractors see the location without a phone call
  • Two-way sync, when needed, is the Defect Connectivity Hub story
  • Same record through DLP, not a pin that only exists in an exported PDF

Role split

This page is the plot record. The Hub is the two-way sync story.

Guided Site is capture. Inspections and Defects holds the item: priority, owner visibility, contractor routing and SLA. Two-way sync with Procore, Fieldview, Coins or CRM is the Defect Connectivity Hub. Partner-specific setup stays on each integration page.

Also in the platform Guided Site offline app → Defect Connectivity Hub → Procore integration → Document Management → Homeowner Portal →
